We are currently seeking an Administrative Assistant to join our dynamic team. In this role, you'll provide both onsite and remote administrative support to a federal program, ensuring smooth day-to-day operations.
Responsibilities:
Greet and assist clients and visitors, either in person or via phone, with a friendly and professional demeanor
Organize meetings, including setting up conference rooms, arranging audio/visual equipment, and ensuring all necessary technology is functioning
Perform routine equipment checks, manage preventive maintenance, coordinate repairs, and maintain equipment inventory
Monitor supply levels, anticipate needs, place orders, and verify supply deliveries
Edit, format, duplicate, and organize presentations, reports, and documents
Coordinate domestic and international travel arrangements, including processing travel requests and managing expenses
Maintain travel and vacation records for both federal and contractor staff
Support inventory management, filing, and audits of federal property and equipment
Implement document and mail distribution procedures, ensuring security and compliance with agency standards
Maintain accurate division records, prepare for visitors, and manage time and attendance reports
Assist with administrative support tasks under the guidance of the assigned team, helping with reports and projects as needed
Provide backup support to team members as determined by the Project Manager
Take on other administrative tasks as required by the agency's contract
Requirements:
US Citizenship (required to obtain client-issued Public Trust)
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication skills, with an ability to adapt to a multimedia environment
Detail-oriented, with a solid understanding of business writing
Ability to learn proprietary software and tools as necessary
Ability to work both independently and collaboratively as part of a team
Strong research and problem-solving skills
A proactive attitude with a willingness to learn about various industries, including energy
Education:
A Bachelor's Degree or equivalent experience in office management and administrative support is preferred.
