Job Description

You’re the person in the office who is organized, patient, and supportive — people can count on you when things get busy. You're not afraid to knock on doors and get things done for your customers and team. You thrive when you’re the go-to person for details, schedules, and communication that help the whole team succeed.

You know how to stay calm and kind under pressure, whether you’re handling a challenging customer or juggling multiple tasks. You always communicate respectfully, but you’re willing to be direct when needed. When it comes to supporting customers, you prefer clear guidelines over strict guardrails so you can build relationships. You know when to stick to how things are usually done vs. when to flex so a customer gets what they need.

Responsibilities:

  • Answer customer calls and emails and guide them on next steps
  • Schedule estimators and update customers on project timelines
  • Submit permits and track township requirements to keep projects moving
  • Send invoices, take payments, and follow up for customer feedback/reviews
  • Keep records accurate in QuickBooks Online and maintain organized files
  • Support the office team with general administrative tasks

Qualifications:

  • Administrative experience required; construction or permitting experience is a plus
  • Strong customer service skills with the ability to remain calm, direct, and kind under pressure
  • Able to work Monday to Friday 8am-4pm
  • Proficiency with QuickBooks Online preferred, but not required
